Overview

A complete digital system

Kumaran Natural Products is a Sri Lankan farm-fresh food brand based in Kalmunai, Eastern Province, supplying quail eggs and quail meat to supermarkets across the island, including Cargills Food City, Keells and independent supermarkets.

AlienX Engineering designed and built two connected products: a public multilingual brand website to present the brand and capture orders, and a private distributor management web application to run the day-to-day business — recording supply to each supermarket, tracking returns, managing payments and seeing real profit by product, salesman, shop and district.

Together these took Kumaran from running their distribution business on manual records to a single, real-time system that shows exactly what is being supplied, what is coming back, who has paid and where the profit actually is.

The Client

Who Kumaran is

Kumaran Natural Products is a family-run quail farm and distributor. They raise quail, collect eggs, process meat, pack in 500g and 1000g portions, and deliver fresh to supermarket shelves the same day.

Their products reach customers through major chains and independent supermarkets across multiple districts, primarily in the Eastern Province (Batticaloa, Ampara, Kalmunai, Kattankudy, Maruthamunai and surrounding areas). As a distributor supplying many supermarket branches, their business generates a constant flow of operational data: deliveries, returns of expired stock, cash collections, and the profit margin on every transaction.

The Challenge

Running a distribution business blind

A growing distribution business that supplies many supermarkets faces a recurring set of problems — and Kumaran needed both halves solved: a professional public face for the brand, and an internal engine to run distribution with full financial visibility.

  • No single view of the business

Supply, returns and payments lived in separate notebooks, spreadsheets and people's memory, making it hard to know the true position at any moment.

  • Profit was invisible

Revenue alone does not show profit. Without subtracting cost price, returns and expenses per transaction, the owner could not see which products, shops, salesmen or districts were actually making money.

  • Returns were hard to track

Expired or unsold stock coming back from supermarkets eats directly into profit, but was easily lost when tracked on paper.

  • Payment status was unclear

Knowing which supermarket had paid, which was pending, and how much had been collected required manual reconciliation.

  • No accountability per salesman

When multiple people handle supply, it is difficult to measure each person's contribution and net profit.

  • Weak brand presence

As a brand selling to both supermarkets and end customers, Kumaran needed a credible online presence that worked in the languages their customers actually use.

Kumaran needed both halves solved at once: a professional public face for the brand, and an internal engine to run distribution with full financial visibility.

The Solution

What was built

AlienX Engineering delivered two connected products — the brand front-end that wins customers and the operational back-end that runs the business.

Part 1 — The public brand website

A clean, modern, multilingual marketing website that presents Kumaran as a trustworthy, farm-fresh food brand and converts visitors into orders and enquiries.

Kumaran Natural Products website product catalogue page with pricing, discount badges and category filters
Product catalogue with live pricing, discount badges, category filters and “Buy via WhatsApp” on every product.

Multilingual support (English, Sinhala, Tamil)

Visitors can switch language instantly, so the brand speaks to every customer in Sri Lanka in their own language.

Brand storytelling

A hero section, an “Our Story” / About page (“Farm-fresh from the heart of Kalmunai”), and a “family farm built on freshness” narrative that builds trust and explains the brand's values.

Product catalogue with live pricing

Products shown as cards with prices, discount badges (e.g. “Save 15%”), descriptions and category filters (All / Egg / Meat).

WhatsApp commerce

“Buy via WhatsApp” on every product and a dedicated bulk-order call-to-action, turning browsing directly into a conversation and a sale — the way Sri Lankan customers actually prefer to buy.

Blog / content hub powered by Ghost CMS

Articles on farm life, nutrition and business that the team can publish without touching code, helping SEO and brand authority.

Credibility and contact

A “Where to find us” listing of stockists, an “Our promise” section, plus a full contact page with an embedded Google Map of the Kalmunai office, business hours, phone, WhatsApp quick-contact and a supermarket stocking form.

Part 2 — The distributor management web application

A secure, multi-user web application that runs the operational and financial side of the distribution business. This is the engine behind the brand.

The distributor management dashboard — net profit breakdown, profit by salesman, top products, sales by district and one-click PDF reports.

Dashboard — the whole business at a glance

Headline metrics (Total Packets Supplied, Net Profit, Return Rate, Pending Payments) with Week / Month / Year / Custom filters, a Net Profit Breakdown (revenue, gross profit, returns loss, expenses, net profit) and Net Profit by User per salesman.

Analytics that find the profit

Top Products by both sales and profit (not always the same product), Sales by District, Top Supermarkets, and one-click PDF reports for net profit, sales, supply and returns.

Supply management

Record every delivery to a supermarket branch with date, branch, district, vehicle, amount and delivery status, plus a running total and record count for the period.

Returns management

Record returned stock with date, product, branch, reason (e.g. Expired), quantity and weight — so the cost of returns is captured and reflected in profit instead of quietly eroding margin.

Payments and expenses

Track total paid vs pending, filter by Paid / Pending, record each payment by date, branch, method and amount, and capture expenses that feed directly into the net-profit calculation.

Supermarkets, products and costs

Maintain the network of supermarket chains and branches, plus product types, products and cost prices — because cost price is stored, the system calculates true gross profit on every supply automatically.

The Impact

From manual records to real-time clarity

Before, the business relied on manual records with no single, reliable view of profit. After delivery, Kumaran has a real-time operating system for its distribution business.

Real-time visibility of supply, returns, payments and net profit for any week, month or year.

True profit clarity — the system subtracts cost, returns and expenses automatically, so the owner sees real net profit, not just revenue.

Accountability — profit and activity broken down per salesman.

Control over returns and payments — expired-stock losses and pending collections are now tracked, not lost.

A credible, multilingual brand presence that turns website visitors into WhatsApp orders.

Instant reporting — professional PDF reports in one click instead of manual compilation.

FAQ

Questions buyers ask about this build

What did AlienX Engineering build for Kumaran Natural Products?

AlienX Engineering built two connected products: a multilingual public brand website (English, Sinhala and Tamil) with a product catalogue and WhatsApp ordering, and a private distributor management web application that records supply, returns and payments and calculates real net profit by product, salesman, shop and district.

What does the distributor management web application do?

It runs the operational and financial side of a distribution business: recording every delivery to supermarket branches, tracking returns of expired stock, managing paid and pending payments, capturing expenses, and automatically calculating net profit (revenue minus cost, returns and expenses) with dashboards and one-click PDF reports.

How does the system calculate real profit instead of just revenue?

Because cost price is stored for every product, the system subtracts cost, returns and expenses from revenue on each transaction. That produces true gross and net profit, broken down by product, salesman, supermarket and district, rather than revenue alone.

Can a similar distributor management system be built for another business?

Yes. The same system can be configured for any business that supplies products to shops or supermarkets — FMCG distributors, food and beverage suppliers, dairy and egg suppliers, snack and bakery distributors and wholesale agencies — using their own products, shops and team structure.

Is this a real project?

Yes. Kumaran Natural Products is a live AlienX Engineering project. The public brand website is online at kumarannaturalproducts.com, and the distributor management application runs the business behind it.
